The Terms and Conditions applying to our contract with you
We have set out the following terms and conditions in the same type size as the majority of the text on our website (11 point). This means they may appear longer than if we had used ‘insurance company print’ but please do not let that deter you from reading them and remember if you find even this print size a struggle you can increase the magnification on your browser.
If there is anything you feel is not clear please raise it with us by phone or email when you are ready to book.
1. Making the Booking
When you wish to book one of our holiday packages we can take your details by email or over the phone and will ask you to make a £75 deposit for each member of your party. When we receive that payment and a form signed by the lead member on behalf of the others listed on the booking form we deem that a contract has been made between us and these conditions are part of that contract. Any changes that are made after the booking has been made will be subject to a fee of £25. We will of course send you a receipt for your deposit and include with that a statement of the holiday you have booked.
2.The security of your money
To comply with the 1992 Package Travel Regulations and to give you peace of mind both the deposits and final payments are held in a trust account until your holiday is completed. You make your payments directly into that Trust Account where the money is held until your holiday has been completed or the sums otherwise become due.
The final payment of the remainder of the holiday price is due 60 days before the beginning of your holiday. If the holiday is booked less than 60 days before departure full payment must be made on booking. If the balance is not paid in time we reserve the right to cancel your holiday and apply the cancellation charges outlined below

We need to apply a charge of 2.5% of that balance to offset some of the costs of payment via Paypal, if you should choose that option and as that is not a small sum we are happy to be paid by cheque or interbank transfer providing it is sent in time for it to clear by the 60 day deadline.
4.Cancellation – by you
If you wish to cancel your holiday, this must be done in writing by the person who signed the booking form or booked over the telephone and whose name is shown on the invoice. The following cancellation rates will apply: –
60 days or more before departure date – deposit only
29 to 59 days before departure – 50% of the holiday cost
28 days or less – No Refund
If you are unable to undertake the holiday due to circumstances that would normally permit you to make a claim on a travel insurance policy, you may transfer the booking to another person. A fee of £25 per person changed will be charged for such changes.
5.Cancellation by us
We will not cancel a holiday unless we are forced to do so by unusual or unforeseen circumstances, war, civil or political unrest, or what is usually known as “force majeure”.
If it should ever happen that we do have to cancel a booking we will, if possible, offer an alternative. If this is not acceptable to you then a full refund will be given. However we will not be liable to reimburse any incidental expenses you may have incurred as a result of your booking, such as flights, travel insurance, visas, additional travel arrangements, etc.
7.Prices of holidays
Prices featured on our website may change at any time due to changes in exchange rates, accommodation or other costs, or if government action forces us to do so but once we send you the confirmation of your booking we will try our very best to keep to that price and only in very exceptional circumstances would we seek an increase. In those circumstances we would offer the option of a complete refund if you decided not to continue with a booking.
8. Risks and hazards
Your booking is accepted on the understanding that you realise the risks and hazards of such a holiday, including the dangers inherent in cycling either on the road or off the road, or the dangers inherent in the other activities included in individual holidays. It is your responsibility to ride with due care at all times. If in doubt you should walk where you are not confident to ride. Your booking is accepted on the understanding that you realise the risks of such holidays in terms of potential for delay and alterations, due to possible changes in local politics, weather, border restrictions, disease, loss or damage to property, elephants on the carriageway, inconvenience and discomfort.
Any information or advice given by the Company on matters such as visas, vaccinations, climate, clothing, special equipment, topography, etc. is done so in good faith and without responsibility on our part.
The information contained on our websites or elsewhere is to the best of our knowledge correct, but all information is subject to alteration without notice. Bordeaux Cycle Tours accepts no liability for any inaccuracy in the information produced.
10.Passports, visas and other essential documents
All clients are personally responsible for ensuring that they have a valid passport, any necessary visas and conform to the health regulations regarding vaccinations. We recommend that all clients based in the UK, obtain a copy of the DHSS booklet “Health Advice for Travellers” (available at the Post Office). All elligble travellers from the UK should obtain a European Health Insurance Card (EHIC).
We do not provide or guarantee any transport to your starting point (-usually your first overnight accommodation). If you fail to arrive at the starting point for whatever reason, we will not be responsible for any additional expenses incurred by you to start the tour. No refund or compensation will be given for unused portions of the tour, including travel arrangements, accommodation, food and services, should a customer be unable or choose not to complete a tour.
It is a fundamental condition of taking part in any of the cycling tours or cycling holidays described in this brochure that you accept the potential hazards and the need for flexibility, and acknowledge that delays and alterations and their results such as inconvenience, discomfort or disappointment, are possible. If you bring your own bike you are responsible for keeping it in good working order. You should keep valuables safely with you at all times.
We want you to have a great holiday and will do our best to help you achieve that. On self-guided tours, any complaint regarding accommodation, food, etc. should be first made to the owners or manager of the establishment concerned and if not satisfactorily resolved at the time of your stay a letter outlining the complaint should be sent to us on your return. But your BCT host in Bordeaux wants to know if you have any unresolved problems as soon as possible so he can attempt to sort them out for you. Please tell him if you have any concerns ASAP. Only if he is unable to resolve the issue to your satisfaction should you put your complaint in writing and send it to the company within 15 days of the holiday ending. Any such complaints received will be thoroughly investigated and we aim to settle any dispute promptly and amicably.
The Company shall not be held liable for any damages caused by the total or partial failure to carry out the contract if such failure is
• attributable to the customer
• unforeseeable or unavoidable and attributable to a third party unconnected to the Company
• as a result of unusual unforeseeable circumstances beyond our control such as strikes, war, civil or political unrest or government action or what is usually known as “force majeure”.
• a result of an event that we, with all due care, could not foresee or forestall
• due to the theft of bicycles or
• injury as a result of cycling or walking with the bicycle either on or off road and in particular injuries as a result of inadequately maintained and serviced personal equipment or failure to wear the correct safety equipment most notably cycle helmets.
Where the Company is found liable for damages in respect of its failure to carry out the contract, the amount is limited to the price of the tour
The client is responsible for any loss or damage to baggage, bicycles or personal possessions or any consequential loss resulting there from. You should be adequately insured against loss, theft or damage. You should keep valuables safely with you at all times. It is a condition of booking for all our holidays that clients have adequate travel insurance that includes cover for a cycling holiday on public highways. To comply with this (and so that your host in Bordeaux could if necessary make contact) we require that you supply the name of the insurance company, the policy number and the details of someone in the UK that you would wish to be contacted in the event of any emergency.
These conditions and any contract to which they apply are governed in all respects by English Law with jurisdiction of the courts of England.

The company was established by Graham Davidson – your host in Bordeaux – after a mis-spent middle age in community development and an early retirement hosting cycle tours in Austria. His love affair with the city of Bordeaux and all things Bordelais had begun almost 40 years before when he first stumbled upon the city while on his way to pick grapes in the Sauternes area .
Four seasons of early mornings and sticky fingers did not dull his enthusiasm, or deter him from returning in later years on various decrepit bikes for cycling tours and to ‘check the quality of the summer wine’. Nowadays while the bike is new, it’s the legs pushing the pedals that are decrepit. (Perhaps, too much sampling of the summer wine?).

The guarantees Bordeaux Cycle Tours offers its guests
Bordeaux Cycle Tours is a provider of a ‘holiday package’ as defined by the Package Travel Regulations 1992 so all payments by clients are held in a trust account until your holiday is completed.*
We have no interest in selling you insurance but it is a condition of the purchase of one of our tours that clients hold insurance that covers them for cycling on ‘surfaced routes’. and any third party liability that may arise. Those same PTR 1992, referred to above also require that we as a tour operator “provide the consumer with information about an insurance policy to cover the cost of cancellation by the consumer or the cost of assistance, including emergency repatriation, in the event of illness which the consumer may, if he wishes, take out in respect of the risk of those costs being incurred.” (See regulation 8 (2) (d).). We fulfill our obligations to you under the regulations by informing you about a policy but it is your entirely your decision whether you take out this additional cover..
The bicycles we provide are hybrids (fairly upright riding position with ’normal’ handlebars best suited to gentle cycle touring on surfaced routes) with 18-21 gears that easily deal with the gentle gradients found on our routes. They includes recent or current Giant and Decathlon models. Children’s bikes can be provided (our family cycle tour is suitable for some children as young as 8). Of course you may choose to bring your own bikes and naturally we will offer all the assistance we can, but spares might be a problem if the make or model is not popular in France.
Our Champagne Promise
We have absolute confidence in our bikes so we have no hesitation in saying that if you have a problem and we cannot fix it right away when we come out to you we will put you on a replacement bike and give you a bottle of champagne to help you ‘recover from the trauma‘. The only ’small print’ in that promise is that you sort out punctures yourself. Be assured they don’t happen often. Never changed an inner tube? We give you a quick tutorial and supply a spare inner tube.
It would be a shame to ruin your eyesight with all this fine print before you have had a chance to look at some of our cycle tours, so if you haven’t already identified the sort of tour you want you may be better off having a look at Our Cycle Tours page to get an idea of what’s available.
